Service Writer - Administrative Assistant

PennFleet is looking for the right candidate with a minimum of 5 years experience in the automotive / truck industry to join a very successful fleet maintenance facility. We operate a clean facility with updated equipment. The ideal candidate should have exceptional customer service skills and be motivated by excellence in performance.

The representative will be responsible for answering phones, providing accurate and up to date information to our customers, create and maintain recruiting database, and assisting the service manager in day to day business required activities.

You must also have exceptional organizational skills and have the ability to multitask while never losing focus of the customer experience. Must be able to adapt to a working shop environment.

Daily Job Duties Include:

  • Open New Repair Orders for incoming vehicles, tag keys, add to live planner board & tag the vehicles accordingly. Update appropriate manager upon arrival i.e. Body Shop or Mechanical Shop.
  • Repair Order Updates – Previous day lines per technician notes and charge parts accordingly.
  • Give MCR’s their schedule and proper items needed for that specific day. Upload all documentation handed in and pictures per RO.
  • Handle Road Calls – gather detailed information about the customer, payment type, and breakdown for the technician & inputting into the Repair Order.
  • Customer Updates/Follow Ups, & Scheduling – Call routine customers, schedule incoming work & update customer on work currently in the shop. When a customer calls provide up to the minute information using the live planner board.
  • Sourcing for New Business:
    • Research local truck fleets for all sizes and OTR Companies that run our area
    • Call for information about becoming a preferred vendor
    • Set calendar appointment for Maintenance Manager to write a Maintenance Proposal
    • Explain Engine Repair & Body Work = Collision center
    • Sourcing for auto body work
